Who We Are

ReiSpace is operated by ReiDefine Consultancy Inc., a corporation registered in Canada (referred to in this policy as "we," "us," or "our"). We are accountable for the personal information under our control and have designated a privacy contact for inquiries.

Our Privacy Framework

This policy follows the 10 fair information principles set out in the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy law.

1. Accountability

ReiDefine Consultancy Inc. is responsible for personal information it collects, uses, or discloses. Our designated privacy contact is available at privacy@reispace.com.

2. Identifying Purposes

We identify the purposes for which personal information is collected before or at the time of collection. Those purposes are described in section 4 of this policy.

3. Consent

We obtain your knowledge and consent before or at the time of collecting personal information, except where not required by law. You may withdraw consent at any time, subject to legal or contractual restrictions.

For analytics, we use a consent-first approach: no analytics software loads until you explicitly accept via the cookie consent banner. If you decline or ignore the banner, no analytics data is collected from your visit.

4. What We Collect on This Website

This policy covers the reispace.com marketing website only. We collect the following types of information:

We use Matomo, an open-source analytics platform. Matomo is self-hosted on servers operated and controlled by ReiDefine Consultancy Inc. No analytics data is transmitted to third parties.

We collect anonymized usage data (pages visited, approximate session duration, referral source) to understand how visitors use the site. IP addresses are anonymized before storage. We do not collect names, email addresses, or other identifying information through analytics.

Analytics are not loaded until you accept via the cookie banner. You may change your preference at any time by clearing the rs_consent cookie in your browser settings.

When you submit the contact form, we collect your name, email address, organization, and message. This information is used solely to respond to your inquiry and is not used for marketing without your separate consent.

When you subscribe to our newsletter, we collect your email address. We use it to send updates about ReiSpace and culturally responsive mental health care in Canada. You may unsubscribe at any time using the link in any email we send.

5. Cookies

This website uses one first-party cookie: rs_consent, which stores your cookie consent choice (accepted or declined). It expires after 365 days and is set only by this website.

  • Analytics software (Matomo) loads only when rs_consent is set to "accepted" by you. Declining or dismissing the banner prevents analytics from loading.
  • Language preference is determined by the URL path (for example, /fr/ for French). No language cookie is set by this website.
  • This website does not use third-party cookies, advertising cookies, or tracking pixels of any kind.

Crisis Resource Page

The CrisisLens page (/crisislens) is intentionally excluded from all tracking. Analytics software is not loaded on that page and the cookie consent banner is not displayed. This protects the privacy of anyone seeking crisis support.

6. Limiting Use, Disclosure and Retention

We use personal information only for the purposes identified at collection. We do not sell personal information or share it with third parties for their own purposes. Contact form data is retained for as long as necessary to address your inquiry. Newsletter subscriber data is retained until you unsubscribe.

7. Accuracy

We make reasonable efforts to ensure personal information is accurate and up to date for its intended purpose. If you believe information we hold about you is inaccurate, contact us at privacy@reispace.com.

8. Safeguards

We use security safeguards appropriate to the sensitivity of the information. The website is served over HTTPS. Analytics data is stored on servers we operate and is not accessible to third parties.

9. Openness

We make our privacy practices available through this policy. For questions not addressed here, contact us at privacy@reispace.com.

10. Individual Access

You have the right to request access to the personal information we hold about you and to request corrections. To make a request, contact privacy@reispace.com. We will respond within 30 days.

11. Challenging Compliance

If you have a privacy concern, please contact us first at privacy@reispace.com. If your concern is not resolved to your satisfaction, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.
